How Facility Managers Can Manage Multiple Buildings

The International Facility Management Association (IFMA) asked facility managers the best tips they can give on how to manage multiple buildings.

These are tips given by facility managers when responding to the IFMA’s LinkedIn post.

“Take advantage of technology – keep operations simple with technology. Assign onsite leadership roles as you can’t be everywhere at the same time. Make communication a priority and keep open lines of it.” ~ Oluwatodimu Bello

“Prioritize urgent and important tasks and WOs for each building(CAFM software unavoidable) , delegates on-site poc for leadership and inspections. Set up scheduled onsite control and inspections.” ~ Faustin Siapo

“By scheduling the activities well, considering all available resources with their capacities and capabilities, such as time, workforce, materials, and equipment, keeps sufficient gaps for further relevant implementations if required to avoid or rectify any misses promptly.
Integrated software solutions ( Such as CAFM Systems ) are always recommended as the right tools for effective planning and monitoring.” ~ Ali Hashim Hussein

“It is critical to keep plans and communication simple. Complexity compounds issues. Plans, directions, and feedback, must be communicated in a manner that is Simple, clear, and concise.
Everyone involved must know and understand their role and what to do in the event of likely contingencies.
We must communicate so the lowest common denominator on the team (those at the most basic level) understand their roles and responsibilities and the “Why”/overall objective(s).
It is critical that the operating relationship facilitate the ability of those working closest to the issue (front lines) to ask questions when they do not understand the objective or key tasks to be performed. Leaders must encourage this communication and take the time to explain so that every member of the team understands.” ~ Tim Prowell
